Privacy Policy
Effective date: 2026-10-15 Last updated: 2026-10-14
The short version: Warp Speed IT is a small Sacramento IT company running a hosted software suite for businesses. We collect what’s needed to run and support the service. We don’t sell your data, we don’t show ads, and your content is yours — you can export it and leave whenever you want.
1. Who we are
Warp Speed IT is operated by Samuel Marcus Hext, doing business as Warp Speed IT (“Warp Speed IT,” “we,” “us”), in Sacramento, California.
Privacy questions and requests: sam@warpspeedit.com. Correspondence: Sacramento, California (no street address is published).
This policy covers (1) warpspeedit.com and its forms, and (2) the hosted software suite we provide — files, calendar, contacts, forms, office documents, calls, email, automations, and support (the “Services”).
2. What we collect
- Account information — your name, business name, email address, phone number if you provide one, and service settings.
- Your content — the files, folders, calendars, contacts, messages, form submissions, documents, and other material you or your users put into the Services (“Customer Content”). It’s yours; we process it only to run and support the Services for you.
- Website form submissions — information you send through the signup/contact forms (e.g. name, email, business details, message).
- Communications — support requests and other messages you send us, plus routine service metadata needed for support and security. We don’t record calls or meetings.
- Billing information — invoices and payment status. Payments are processed by Stripe (cards; bank/ACH transfers where available). We don’t store full card numbers on our systems.
- Technical data — IP address, device/browser type, and security/operation logs created when the Services are used.
- Cookies — only what keeps you signed in and the Services secure. No advertising cookies, and no third-party analytics or trackers on our website or in the suite — our website measurement is first-party and cookieless.
- Website measurements — aggregate statistics about visits to our website: page views, unique visitors, how visitors found us (referring site or campaign link), and aggregate clicks on campaign links we share. Collected without cookies, on our own (first-party) systems, and never used to track you across other sites or to build advertising profiles.
3. How we use it
- Provide, operate, and maintain the Services;
- Support you and answer requests;
- Create accounts, bill, and manage subscriptions;
- Keep things secure (sign-in, abuse prevention, incident response);
- Meet legal obligations;
- Send service notices (planned maintenance, changes, security issues);
- Measure, in aggregate, how the website is used (page views, visitor counts, campaign-link clicks) so we can improve it.
We do not sell or rent your personal information, share it for advertising, or use your Customer Content for anything except providing and supporting the Services.
4. When we share it
Only with service providers (“subprocessors”) that help us run the Services, and only on our instructions:
- Infrastructure/hosting: OVHcloud (the datacenters where the suite runs).
- Email: Migadu (mailboxes and mail delivery).
- Payments/billing: Stripe (card and ACH payment processing). Invoices are issued through our own billing system.
- Backups: OVHcloud (automated server backups) and Hetzner (additional offsite backup copies).
We may also disclose data when the law requires it, to enforce our Terms of Service, or as part of a business transfer (we’d tell you when we can). We do not “sell” or “share” personal information as those terms are used in California law.
5. How long we keep it
While your account is active, we keep your data so the Services work. After you leave, Customer Content is deleted within 30 days. Servers are backed up automatically at least daily; backup retention follows our hosting provider’s schedule (OVHcloud automated backups keep 24 hours), with additional offsite copies at Hetzner kept on a separate rotation. Security/operation logs: up to 90 days. Billing records: as long as tax law requires (7 years).
6. Security
Encryption in transit (HTTPS/TLS), access controls on our infrastructure, timely security updates, automated backups, and least-privilege access for anything we operate. Nothing is perfectly secure; if a breach ever affects your data we’ll notify you and the authorities as the law requires.
7. Your rights
California (CCPA/CPRA): you can ask us to tell you what we hold, give you a copy (portable), correct it, or delete it. Email sam@warpspeedit.com. We’ll verify who you are first. Exercising rights never costs you service — no discrimination, ever.
Elsewhere: if your jurisdiction (e.g. EU/UK) gives you more rights than the above, contact us — we’ll honor them in line with that law. You can also complain to your local privacy regulator.
If you’re a user on someone else’s account: raise it with the account holder, or contact us and we’ll route it.
8. Children
The Services are for businesses and adults — not directed at children under 16, and we don’t knowingly collect from them.
9. Changes to this policy
If we make a meaningful change, we’ll update the date above and tell account holders (email or in-app) before it takes effect.
